Personal Assistant/Office Manager

Location: Broadstairs, Kent

Salery: £16,500 - £17,500 depending on experience and qualifications

Job Type: – Full Time, Permanent

Start Date: ASAP

JOB PURPOSE:

To assist with the efficient and effective co-ordination and delivery of projects, group meetings and new project requests by adhering to internal processes and methodologies whilst liaising with technical stakeholders; project leaders, Board Directors and Subject Matter Experts all of whom are volunteers within a global technical society. Additional general administrative support to be provided as part of the office team as required.

JOB ROLE:

• Project reporting, escalation and approval
• Schedule, organise and execute project team meetings
• Work with other team members to ensure information is shared on relevant
communication channels
• Attend telephone conference calls and record actions/minutes
• Design and prepare promotional communications and materials, in line with the
company brand
• Proofread all materials prior to release to ensure high quality communication through
proper use of English and internal consistency within documentation
• Reformat technical material into a consistent PowerPoint format using a pre-defined
house-style
• Preparation and management of project documentation in team collaboration
workspaces
• Update website content as required to ensure information is current
• Provide additional support to communication activity as required
• Provide additional support to membership activity as required
• Proactively contribute to process improvements

REQUIRED ATTRIBUTES:

Skills
• Must demonstrate excellent organisational skills, particularly in managing time and tasks

• Must have good social media knowledge
• Must be computer literate with an intermediate level of Microsoft programmes, in particular Word, Excel, Powerpoint and email
• A keen eye for detail and the ability to produce high quality accurate work in tight timescales
• Excellent presentation, written and verbal communication
• Comfortable to challenge the status quo
• Ability to work in a challenging environment, prioritise work and ability to make decisions
• Ability to meet targets and deadlines

Experience
• Will have worked in an office environment and have good background within administration
• Will have worked as part of a team
• Will have some website experience, at least basic training
• Customer facing experience preferred

Qualifications

Educated to degree level (or equivalent) or proven experience

Personal Assistant/Office Manager

Salary: £16,000 per annum – depending on experience
Job Type: – Full Time, Permanent
Start Date: ASAP

Personal Assistant/Office Manager needed for an established international fitness model events company. You will be supporting the CEO with, but not limited to, replying to emails, scheduling call backs, minor diary management, collating information and creating reports, booking video shoots, communicating with sponsors, contacting venues and athletes. As well as having your own task which include replying to customer service emails, stock management, order processing, distribution of goods.

You would also be required to assist the Operations Director with planning our Events planning and providing support at the events.

The successful candidate needs to have excellent customer service skills, be assertive, patient, friendly and approachable. Must be able to liaise at all levels and confident in communicating with others via, email, phone and in person.

Must have experience using excel, word and power point. Be able to pick up most software packages and be computer literate as the role is very varied and ranges from posting a post on social media, to updating our email database.

Experience working in an office is a must.
